Job Summary

  • The Clinic Coordinator oversees the operational, administrative, and/or financial activities of an assigned medical clinic or physician practice. This role serves as a key liaison among providers, staff, and other departments to ensure high-quality service delivery, efficient workflow, and regulatory compliance. Responsibilities may include supervising clinic staff, managing revenue cycle processes, supporting patient care coordination, and maintaining accurate records and communications.

Essential Functions

Clinical & Operational Coordination

  • Coordinates daily activities in the clinic to ensure effective patient flow, staffing, and customer service
  • Assists physicians and clinicians in supporting patient care delivery
  • Maintains clinic schedules, manages administrative documentation, and ensures adherence to regulatory standards
  • Supports or provides direct patient care within the scope of licensure (if applicable)
  • Maintains a safe, respectful, and professional clinical environment aligned with organizational values

Revenue Cycle & Administrative Support

  • Oversees front-end revenue cycle functions, including demographic and insurance entry, eligibility verification, and TOS collections
  • Assists with claims resolution, payment posting, denial management, and appeals processes
  • Performs reconciliation of payments, deposits, and billing reports; addresses returned mail and patient inquiries
  • Provides training and feedback to clinic staff on billing and compliance processes
  • Supports enrollment and credentialing updates for providers and communicates with stakeholders accordingly

Other Responsibilities

  • Participates in performance improvement initiatives and audits
  • Maintains confidentiality of patient and financial records in compliance with HIPAA
  • Collaborates with external billing teams and internal departments to align workflows
  • Performs other duties or special projects as assigned

Knowledge/Skills/Abilities/Expectations

  • Strong interpersonal, organizational, and communication skills
  • Proficiency in Microsoft Office, EHR, and PM systems
  • Knowledge of front-end and back-end billing processes
  • Ability to multitask and work effectively in a fast-paced clinic setting
  • Familiarity with HIPAA, insurance verification, and healthcare compliance standards
  • Frequent sitting, typing, and use of computer systems
  • Occasional bending, stooping, lifting <25 lbs
  • Rare exposure to biohazards or patient contact depending on clinic type
  • Clinic or office-based setting
  • May involve coordination with multiple departments or offsite providers

Qualifications

Education

  • High School Diploma or GED (Required)
  • Associate degree or healthcare/business coursework (Preferred)

Licenses/Certifications

  • Certified Professional Coder (CPC) (Preferred)

Experience

  • Minimum 1 year of experience in a medical practice or clinic (Required)
  • 5 years of experience in medical billing and revenue cycle for physician practices (Preferred)
  • Previous supervisory or training experience (Preferred)
