Description

As a Guest Services Coordinator at Carolina Pines Regional Medical Center, you will be the first point of contact for our clients, responsible for delivering an outstanding customer experience from the moment they walk in until they leave. Your role will involve managing appointments, handling inquiries, and providing top-notch service that reflects our commitment to excellence.

Key Responsibilities:

- Client Interaction: Greet clients warmly upon arrival, ensuring they feel welcomed and comfortable. Provide information about services, treatments, and the spa’s offerings.

- Appointment Management: Schedule, reschedule, and confirm client appointments using our booking system. Handle appointment cancellations and no-shows professionally.

- Administrative Support: Perform various administrative tasks, including answering phone calls, responding to emails, and managing client records. Ensure that all client information is accurate and up-to-date.

- Customer Service: Address and resolve any client concerns, complaints, or special requests in a prompt and courteous manner. Ensure a high level of client satisfaction at all times.

- Billing and Payments: Process client payments, manage transactions, and handle any billing issues or discrepancies.

- Facility Maintenance: Ensure that the reception area and client waiting areas are clean, organized, and well-stocked. Report any maintenance issues to the appropriate personnel.

- Team Collaboration: Work closely with estheticians, medical professionals, and other staff members to coordinate client appointments and ensure smooth operations.

- Marketing and Promotions: Inform clients about special promotions, packages, and new services. Assist with implementing marketing strategies to enhance client engagement and retention.

- Client Follow-Up: Conduct follow-up calls or send emails to check on client satisfaction, remind clients of upcoming appointments, or offer additional services

Qualifications

- Minimum of three years of experience in a customer service or administrative role in a medical spa, salon, or similar environment is preferred.

- Skills: Excellent interpersonal and communication skills with a strong focus on client service. Proficiency in using booking and management software is preferred.

- Organization: Strong organizational and multitasking abilities, with attention to detail and the ability to manage a busy front desk efficiently.

- Professionalism: Demonstrated ability to handle sensitive and confidential information with discretion and maintain a polished, professional demeanor.

- Problem-Solving: Strong problem-solving skills with the ability to address and resolve client issues effectively and calmly.

- Team Player: Ability to work well in a collaborative team environment and contribute to a positive workplace culture.
